Job Summary/Basic Functions

Manage the daily work assignments within Parking Services to ensure operational efficiency and cohesiveness, in accordance with standard operating procedures. Manages, problem solves, and provides customer service through assessment, communication, and knowledge in order to maintain an efficient professional office.

Minimum Qualifications

Education: High school diploma or GED is required

Experience: Minimum three-years responsible work experience in a field with extensive public contact.

Job Duties:

  • 40% - Provide Office Management To Parking Services; • Establish priorities and coordinate assignments daily to other Parking Services employees. • Ensure accuracy of information regarding procedures and policies. • Compose, prepare, and disseminate all office correspondence for departmental, campus or external mailings as requested from departmental personnel. • Coordinate all departmental travel itineraries and process the information as described in the departmental and campus procedures. • Hire, train, and manage the daily functions of all office associates in the office. • Hire, train and manage the daily functions of the student workers in the office. • Collect and maintain inventory records for office furniture, supplies and equipment. • Maintain all required departmental files in a manner that allows for the office to operate efficiently. • Produce and monitor office schedules and keep appropriate personnel informed of upcoming events. • Manage, triage and direct incoming phone calls, fax, and emails to the appropriate departmental personnel. • Oversee and maintain student worker resources. • Facilitate the employment process for the department or division according to the University’s written policy and procedure. • Manage the compliance with divisional decisions and disseminates any changes as instructed by supervisor. • Compile and complete departmental financial reports. - (Essential)
  • 20% - Provide Customer Service and Software support To Assigned Department; • Address student, faculty, staff, public, and parent concerns and provide counseling/advice as stated in the department operating procedures. • Disseminate information to appropriate individuals as expressed in the department procedures. • Edit, produce, duplicate and distribute department documents, newsletters, and other materials and coordinate mass mailings. • Maintain parking calendar on department and University web site. • Prepare, process and follow-up on all maintenance work orders. • Maintain parking software updates and networking in the office. - (Essential)
  • 20% - Maintain Departmental Billing; • Create, process, obtain approval and maintain documentation of all departmental purchase orders. • Generate transfer of funds requests as assigned by the departmental personnel. • Input, reconcile, and maintain all records for departmental accounts. • Review, process and obtain approvals for all departmental invoices as described in the departmental and campus procedures. • Review and submit departmental requests for reimbursements as stated in the departmental and campus procedures. • Maintain departmental, college or unit database for special accounts. - (Essential)
  • 10% - Completes all other tasks as assigned • Assist other staff in the department as requested. • Attend, participate and record minutes at departmental and campus meetings and serve on committees as requested. • Attend meetings, trainings, and other events as needed. • Schedule and facilitate special events and meetings as assigned. • Ensure compliance with applicable laws, regulations, policies and procedures. • Provide back-up coverage for other staff in the department as required. • Complete all other duties and special projects as assigned. - (Essential)
